2. What data we collect

We only collect data that you give us:

• contact form and quote request forms in the calculators — your name, phone number, email address, message, the service you are interested in and the details you entered in the calculator (e.g. property type, floor area, number of points);
• attachments you add to your request (photos, drawings, plans) — these may contain further information, such as an address or room layout;
• information from phone calls, emails or Facebook messages — whatever you choose to share.

The calculators work in your browser. The details you enter only reach us when you press the button to send your request.

3. Why we use your data and our lawful basis

• to reply to your enquiry and prepare a quote — steps taken at your request before entering into a contract (Article 6(1)(b) GDPR / UK GDPR);
• to carry out the work if you hire us (Article 6(1)(b));
• invoicing and accounting — legal obligation (Article 6(1)(c));
• following up on your enquiry and establishing, exercising or defending legal claims — our legitimate interests (Article 6(1)(f)).

We do not send newsletters or marketing to your email address and we never sell your data. We do not use automated decision-making or profiling.

4. Do you have to give us your data?

No, it is voluntary — but without a phone number or email address we cannot reply to your enquiry.

5. Who we share your data with

We do not sell your data or share it with other companies for marketing. It is only handled by technical service providers acting on our behalf:

• website and email hosting — cal.pl, which hosts helcom.eu and the info@helcom.eu mailbox where enquiries from the website are delivered (servers in Poland);
• n8n automation server — our own server, which receives the forms and passes them on;
• SeaTable — the database where we store enquiries.

If you hire us, the details needed for invoicing will also be shared with our accountant and, where necessary, with subcontractors working on your project.

6. How long we keep your data

• enquiries that did not lead to a contract — up to 12 months after our last contact (e.g. in case you come back to the quote later);
• customer data — for the duration of the contract, then until the limitation period for claims expires (generally 6 years) and for as long as tax law requires.

7. Your rights

You have the right to:

• access your data and get a copy of it,
• have your data corrected,
• have your data erased,
• restrict processing,
• data portability,
• object to processing based on our legitimate interests.

To exercise any of these rights, email info@helcom.eu. You can also complain to a data protection authority: in the UK the Information Commissioner's Office (ico.org.uk), in Poland the President of the Personal Data Protection Office (uodo.gov.pl).

8. Cookies and analytics

helcom.eu does not use cookies or any analytics, advertising or tracking tools (such as Google Analytics or Meta Pixel).

Our hosting server keeps standard technical logs of each visit (IP address, date and time, page visited, browser type) for security and troubleshooting. The fonts on this website are loaded from Google Fonts, so your browser connects to Google and shares your IP address with it.

9. Facebook

We run a business page on Facebook. If you interact with it (like, comment or send a message), we process your data jointly with Meta Platforms Ireland Ltd. — we can see things like your profile name and messages, plus aggregated, anonymous page statistics. 10. Changes to this policy

We update this policy when the way our website works or the law changes. The current version is always available on this page.
